Select a pay run on All pay runs (Payroll in the sidebar) to work on it. Company Admins and HR Admins can run payroll once your company has finished payroll onboarding.

Run a pay run

The bar at the bottom of a pay run shows its three steps. Select Continue later at any point to leave and come back.
1

Adjust payroll

A draft or failed run shows when to Run by, the Pay day, the number of Employees and the Total gross pay. Work through the tabs: Earnings: Full Time for salaried people, Earnings: Part Time for hourly people, and Deductions (see Deductions). Select a person to open their pay details and enter hours or amounts. To leave people out of a draft run, select them and choose Exclude. Then select Preview payroll.
2

Review

Check the totals, such as Total debited today, Direct deposits, Employee taxes and Company taxes. Switch between Company cost and Net pay to see each person’s numbers. Select Back to make more changes, or Submit & schedule.
3

Submit & schedule

The submitted run shows an overview, its taxes and everyone’s pay. Select a person to see their paystub.
If the run is on autopilot, Preview payroll first asks Would you like to submit manually?, because submitting it yourself turns autopilot off for that run.

Change a submitted run

Until its due date, a submitted run shows Make changes and a note saying how long you can still change it. Make changes sends the run back to a draft. On an autopilot run, making changes turns autopilot off, and you’ll need to submit future payrolls yourself until you turn it back on. If your company has QuickBooks connected, a paid run also shows a button to sync it to QuickBooks.

Settings and people on a run

While a run is a draft or has failed, the top of the page has two buttons:
  • Payroll settings sets the Pay run name, Pay run dates and Pay day, the Bonus tax rate and Salary overtime exempt. You can only rename or redate runs that aren’t regular. Open settings takes you to Payroll settings.
  • Add people adds employees to an off-cycle, bonus or termination run. It isn’t available on regular runs.
If your company has hours import, Earnings: Part Time also shows Import hours. It walks you through Get started (download the template and upload a CSV), Review (rows are marked Valid or Has an issue) and Submit.

Off-cycle and bonus runs

On All pay runs, select Create new > Offcycle or Bonus, then fill in the form:
  1. Enter a Pay run name.
  2. Pick the Payday (mm/dd/yyyy). The form notes it must be 3 business days after today.
  3. Choose whether to omit standard benefit deductions, contributions and garnishments. Pick Yes, omit standard benefits if you’re paying people on top of their regular pay runs, or No, include standard benefits and garnishments if they were taken out of a regular run and are paid here instead.
  4. For a bonus run, choose the Bonus withholding: the flat supplemental tax rate or Regular W-4 Tax Rate. You can change it for each pay type and employee later.
Select Submit, then Done to open the new run. Use Add people to add employees and enter their pay.

Termination runs

A termination ends someone’s employment and sets up their last paycheck. Start from Create new > Termination, or from a person’s profile with Actions > Terminate employee.
1

Details

Choose who you’re terminating, the Date of termination, Termination type and Termination reason, and add notes. Under Schedule offcycle payroll, choose how they get their last paycheck, such as Yes, create final paycheck, Pay during current pay run or Pay during next scheduled pay run. Then decide whether to close their corporate cards.
2

Reassign direct reports

Only appears if they manage people. Pick a new manager for their reports.
3

Choose a new signatory

Only appears if they’re your company’s authorized signatory.
4

Confirm & proceed

Check what will happen, then confirm.
If you chose Yes, create final paycheck, you need to run that termination payroll yourself on the employee’s last day. Every doesn’t email the employee about their termination, so let them know yourself.
