Use Send money to pay a vendor from your Every checking account. Company Admins, Bookkeepers and Accounts Payable users can send payments once your company has finished onboarding. To start, go to Payments > All payments and select Send money. You can also choose Pay vendor on a vendor in Vendors.

Send a payment

1

Select Recipient

Choose who you’re paying. To pay someone new, type their name and select the Create option to add them as a vendor. You can also upload a bank letter or a PDF of their account information under Auto-match recipient information, and Every fills in what it can.
2

Recipient Account

Pick one of the vendor’s saved accounts, or select Add new account. The account you choose sets how the money is sent. If you don’t have the vendor’s bank details, select Request from vendor to email them a request.
3

Amount

Enter how much to send. Your available balance is shown next to it.
4

Accounting Details

Add a Memo for Recipient, choose your approvers, and fill in how the payment should be recorded. Then select Next to review.
On the review page, check the details and select Confirm & pay. If your company still has the older flow, you choose a Payment Method before the amount and enter the Recipient Details after it.

Payment methods

If your company is set up for international payments, you’ll also see international options when you add an account. These ask for the vendor’s country, currency and local bank details, and show the exchange rate on the Amount step.

Accounting details

  • Approvers: answer How many people should approve this bill? and pick each approver. Company Admins can choose No approvers needed. Everyone else needs at least one approver. See Approvals.
  • W-9: choose whether Every should collect a W-9 from the vendor. If yes, enter the vendor’s email.
  • Accounting software: if QuickBooks is connected, choose whether to create a bill in QuickBooks. If you do, add the QuickBooks vendor, account and class, the bill number and dates, and the bill items, which must add up to the payment amount.
  • Otherwise, choose what you’re paying for under I am paying for and the department under This purchase is for. If your company uses Budgets, you can also pick the budget the payment counts towards.

Schedule a payment

If your company has scheduled payments, ACH payments ask When should this bill be paid? Choose Pay now to send it as soon as it’s approved, or Schedule for later and pick a Payment date. Every holds the payment until that date.

After you confirm

What happens next depends on the payment:
  • With approvers, it goes to Needs approval and is sent once everyone has approved.
  • Without approvers, it’s sent to the bank straight away, or held until its scheduled date.
  • If you requested bank details from the vendor, it’s sent automatically once the vendor provides them.
You can follow it on All payments.
