Bulk import may not be available for your company yet.
You add people from People > Add people. Company Admins and HR Admins can hire once your company has payroll set up. Before you start:
  • You’ll need a pay schedule for them. If you don’t have a suitable one, create it during the hire with Create pay schedule.
  • To have Every create the offer letter, choose a company signatory under Authorized signatory (see Payroll settings).

Hire one person

Select Add people (or Add people > Create new hire) and work through the steps.
1

Employee type

Answer What type of employee are you hiring? with Full Time, Part Time, Contractor, International contractor or International employee (EOR). For an international contractor, also choose a compliance package.
2

Personal details

Enter their Legal first name, Legal last name and Email, plus an optional middle initial and personal email.
3

Employment details

Pick their Manager and Department. For employees, also pick a Work location and say whether someone at the company can check their I-9 ID documents in person.
4

Job & compensation

Choose the Job title, Compensation amount and how often it’s paid, overtime eligibility, Pay schedule and Start date, and add a stock grant if there is one. For hourly pay, choose a Timesheet input frequency. If your company has time off, you’ll also see the time off policies they’ll be assigned.
5

Offer letter

Choose Yes, please create to have Every create an offer letter and Invention Assignment Agreement (a contract, for contractors), or No, I’ll use my own to upload yours. If Every creates it, you can add a signing bonus. For employees you can also add a bonus and answer When should this offer expire?, and for contractors you describe What services will be provided?
6

Review and confirm details

Check the summary and the list of what happens next, then select Confirm & Invite. Select Make changes to go back.
International employee (EOR) hires have an Employment terms step in place of Offer letter. If EOR hiring isn’t set up for your company, choosing that option shows how to reach Every’s team.

What happens next

Every emails the person an invitation to onboard. Employees fill in their own details and documents, such as Form I-9, Form W-4 and state tax withholding forms. Contractors fill in their Form W-9 information. Every adds them to the next payroll.
  • While they’re onboarding, their row in People shows Onboarding incomplete or I-9 incomplete. Use the row menu to Send Invite again, Onboard them by filling in details yourself, Edit offer letter or Delete the hire.
  • If you add someone after their regular payroll has already run, the review step warns you. Once they finish onboarding, Every creates a new hire payroll that you run yourself (see Running payroll).

Import several people

Select Add people > Bulk import employees and work through three steps.
1

Upload

Under Who are you importing?, choose Employees or Contractors. Select Download template, add one row per person, and match the Work locations and Pay schedules listed under Valid values for your company. Then upload your CSV and select Continue.
2

Review

Rows are split into Needs attention and Ready to import. Only valid rows are imported, so fix the rest with Download errors and Upload a revised file, or import the valid ones now.
3

Done

Imported people appear in your list straight away. Onboarding invites only go out when you select Release Hire 2 emails.
