Custom templates may not be available for your company yet.
Documents > Custom templates is where you build your own document templates. You can make offer letter templates, for employees or for contractors. HR Admins and Company Admins can use it once your company has finished onboarding.
Your templates
Templates are split into tabs: All, Drafts, Published and Archived. Drafts also lists published templates that have unpublished changes. Each row shows the template’s Name, Type, Status, Version and when it was Last updated. Select a row to open it.
Create a template
Choose the type
Select Create template, then choose a Template type: Offer letter (employee) or Offer letter (contractor).
Name it
Enter a Template name and, if you like, a Description (optional). Select Create template to open the editor.
Edit a template
Write your template in the editor, and add variables from the + menu. Variables are filled in for each person you hire, and you only see the ones that fit the template’s type. The + menu also adds a Signature block.
The More actions menu lets you Undo, Redo or Reset your changes, start from a file with Import from Word or Import from PDF, or start from Use Every’s default. Importing replaces your current draft, and Every then looks for places to add variables.
To get help from AI, choose Ask AI in the + menu to open AI Assist. Select Clean up structure to tidy the layout, or describe a change and select Apply change. You review the changes before they’re applied, and select Accept changes to keep them.
Select Save draft to save your work, and Publish when the template is ready.
Published and archived templates
A published template is read-only. Select Edit to start a new draft of it, or Archive to stop using it. While a new draft is open, More actions > Discard draft throws it away and goes back to the published version. To bring back an archived template, select Unarchive.
Use a template
When you add someone, the Offer letter step lets you Choose a template from your published offer letter templates (see Adding people). If you haven’t published one yet, you’ll see No templates available.
