The bill inbox may not be available for your company yet.
You can upload bills or email them to Every. Every reads the recipient, amount and due date off each invoice and puts the bill in the Inbox tab of Payments > All payments, so you can check it before anyone approves it. Company Admins, Bookkeepers and Accounts Payable users can add bills. The bill inbox needs the Bill Pay automation turned on, in Settings > Accounting under Bookkeeping automations. When it’s off, bills emailed to Every aren’t kept, and Upload bill and Inbox are hidden. You can still pay a bill with Send money.

Add bills

  1. Go to Payments > All payments and select Upload bill.
  2. Drop your invoices in, or click to choose them. You can add PDFs and images, and each file becomes its own bill.
  3. Every reads each file and marks it Added, Already in inbox, Already paid, Could not read or Failed.
Once a bill is added, the page opens Inbox.

Review a bill

Select a bill in Inbox to open it. Check what Every read and fix anything that’s wrong:
  • The vendor, which you can change
  • The Items on the bill, and its Category, Department and Budget
  • The Approvals: who needs to approve the bill (see Approvals)
  • If QuickBooks is connected, whether to Create a bill in QuickBooks, with its invoice number, vendor, category, class and dates
  • Whether to request a 1099 for this vendor
The Stage tells you when a bill needs something from you:

Send it on

When the bill looks right:
  • Select Send for approval to send it to the approvers you added.
  • Company Admins can also select Approve without adding approvers. The bill is then paid straight away.
  • Select Decline to remove a bill you don’t want to pay. You can undo this from the message that appears.
