Transaction policies may not be available for your company yet.
Policies, under Tools in the sidebar, is where you set your company’s rules for card spend: who has to attach a receipt or add details to a card transaction, and above which amount. Owners, Company Admins and HR Admins can use it once your company has finished onboarding.

Your policies

The list shows each policy’s Name, Status (Draft, Published or Unpublished), Owner and when it was Updated. Select a policy to edit it, or use its menu to Edit or Delete it.

Create a policy

Select New policy and pick a starting point: If you start from scratch, Every asks What should this policy achieve? Describe it in plain words and Every drafts the audiences, rules and overview for you to edit. To skip the draft, select Build manually instead.

Edit a policy

A policy has a title, an Overview and one or more rules. Changes save as you go.
  • Overview: what the policy is for and what people need to do. Select Write from this policy to have Every write or rewrite it for you, or choose Regenerate rules from this text to rebuild the rules from what you’ve written.
  • Rules: each rule reads as a sentence. Add one with the add button between blocks, and use a rule’s menu to Move up, Move down or Delete it.
Rules are checked in order, and the first rule that matches a purchase applies. You can require QuickBooks details only while QuickBooks is connected. An audience has a Name and conditions on Employment type, Department, Location, Reports to or Specific employees. With no conditions, it covers everyone. The sheet previews who the audience covers, and changes to it apply to every rule that uses it. If you’re a Company Admin, you also see how a policy would have applied to your company’s recent card spend: how many transactions each rule matched, and how many would have been Out of Policy.

Publish

Select Publish at the top of the editor to see the policy’s Status, when it was Published and its Owner, or to Copy link. Then select Publish in the panel. A policy needs a name and at least one finished rule, and its rules can’t conflict with another published policy. Once a policy is published, your edits go live as they save. Select Unpublish to stop it applying. To remove a policy, choose Delete from the editor’s menu. Published policies decide which card transactions show Out of Policy on Transactions, and the transaction’s details list what’s still needed.
