Expenses may not be available for your company yet.
Accounting > Expenses is where you get your company’s spending ready for your books and send it to QuickBooks. Company Admins and Bookkeepers can use it once your company has finished onboarding. You need QuickBooks connected. Until it is, the page shows a Connect QuickBooks banner that takes you to Accounting settings.

What’s on Expenses

Expenses lists your company’s bill payments, card purchases and ACH debits. Each expense moves through three tabs. A class is only needed if your QuickBooks company uses classes. If you have budgets, a Budget column shows which budget each expense counts towards.

Categorize expenses

Choose the QuickBooks vendor, QuickBooks category and QuickBooks class for each expense. Every fills in what it can, and a label under the choice tells you where it came from:
  • Used before: the value you last used for this merchant
  • Card default: the default set on the card that made the purchase
  • Filled by AI: a suggestion from Every
Once an expense has a vendor, a category and (if needed) a class, it moves to Ready to Sync. To work on several expenses at once, select them and choose Assign vendor, Assign category or Assign class. Open an expense to see its receipt and change its QuickBooks fields. Changes save as you make them.

Receipts

The Receipt column shows Upload receipt when an expense has none, and View receipt when it does. Select expenses and choose Download receipt to save copies.

Sync to QuickBooks

Select the expenses you want to send and choose Sync to QuickBooks. You can also sync a single expense from its row menu. If any selected expense still has empty fields, Every asks you to fill them in first. The Status column shows where each expense stands:

Remove an expense

If something shouldn’t be in your books, select it and choose Remove. To see removed expenses again, turn on Show removed in the table’s display options, then select Restore.
