# Accounting settings

> Connect QuickBooks and choose how Every handles your books

**Settings** > **Accounting** connects Every to QuickBooks and controls how Every keeps your books. Owners, Company Admins and Bookkeepers can use it once your company has finished onboarding.

## Connected accounts

Connect QuickBooks to keep your books in sync. Its status shows as **Connected** or **Disconnected**.

1. Open the menu next to **QuickBooks** and select **Connect**.
2. Select **Continue**. QuickBooks opens in a new tab.
3. Authorize the connection in QuickBooks, then come back to this page to finish setting up.

> [!TIP]
>
> If Every says your browser blocked the QuickBooks tab, allow pop-ups for Every and try again.

Once you're connected, the same menu has:

* **Refresh data**: pulls the latest data from QuickBooks. This can take a couple of minutes, so reload the page after a moment.
* **Disconnect**: expenses stop syncing until you reconnect. Your mappings stay in place.

## Bookkeeping automations

Automations write memos, categorize spend and sync transactions to QuickBooks for you. Turn each one on or off with its switch. You may not see all of them.

| Automation | What it does |
| - | - |
| **Memos** | Writes memos for all card transactions |
| **Categorization** | Categorizes spend as it happens |
| **QuickBooks Sync** | Syncs high-confidence, in-policy expenses to QuickBooks |
| **Create Missing Accounts** | Creates missing QuickBooks accounts and category mappings before payroll syncs |
| **Bill Pay** | Extracts and processes bills emailed to Every, and sets them up for approval |

All automations except **Bill Pay** run only once QuickBooks is connected.

## Policies

**Policies** work with or without QuickBooks.

* **Require receipt upload**: set **Require above this amount**. Spend above it flags the transaction and adds a "Missing receipt" to-do for the employee.
* **Reimbursement approvals**: if your company has it, choose **Require manager approval** (the employee's manager approves first, then an accountant) or **Skip manager approval** (straight to a single accountant). Employees with no manager always go to a single accountant, and reimbursements already waiting for approval keep their original chain.

## Once QuickBooks is connected

Three more sections appear. Changes save as soon as you pick an option.

| Section | What you match |
| - | - |
| **Default accounts** | Each Every account, such as **Every Bank Account** and **Reimbursement**, to the QuickBooks account to use when syncing |
| **Department mapping** | Each Every department to a **QuickBooks class**. Add departments in [Company information](/settings/company-profile) |
| **Category mapping** | Each Every category to a **QuickBooks category**, split into **Mandatory categories** and **Other categories** |

Depending on your company, **Default accounts** can also include **Credit Card Account**, **Credit Card Payment** and **Financial Benefit Checking**. If your company can create its own categories, select **Add category** under **Other categories**, give it a name and a **QuickBooks account**, and select **Save**. Your own categories are marked **Custom**, and you can delete them.

To review and sync expenses, go to [Expenses](/accounting/expenses).
