> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# Terminate employment

> End a person's employment: set their last day, choose their final pay and cards and reassign their direct reports

![Termination review summary with one person, their final day and termination type.](https://mintcdn.com/every-a2724ddc/k5maP8xPODHl5ToY/images/illustrations/admins-hr-terminate-employment-light.png?fit=max\&auto=format\&n=k5maP8xPODHl5ToY\&q=85\&s=e13909b32bd44c3f9a5711d17e5f0f5f)

On **People**, open the person's profile and select **Actions** → **Terminate employee**. Company Admins and HR Admins set the person's last day, choose final pay and cards and reassign direct reports.

> [!NOTE]
>
> Every turns on the **Reassign direct reports** step and personal email fields company by company. If you don't see them, email [support@every.io](mailto:support@every.io) to ask about them.

## Before you begin

* You need the Company Admin or HR Admin role. **People** appears once payroll is set up and your company has finished onboarding.
* Choose a person whose onboarding is complete. Selecting someone still onboarding opens their hire flow instead of their profile.
* Have the termination date, type and reason ready.
* If the person manages others or signs for the company, decide who takes over those responsibilities.

> [!WARNING]
>
> A replacement company signatory takes over as soon as you confirm, even when the person's last day is in the future. Choose someone ready to sign for the company when you confirm.

## Set the termination

**1. Check the personal email**

When **Personal email** or **Personal email (optional)** appears, confirm the address or enter one. You can leave **Personal email (optional)** blank.

**2. Set the last day**

In **Date of termination**, choose the person's last day.

**3. Give the reason**

Choose a **Termination type** and a **Termination reason**. If the reason is **Other**, describe it in **Notes**.

**4. Choose the final-pay option**

Under **Schedule offcycle payroll**, choose how the person gets their last paycheck. **Yes, create final paycheck** creates a separate pay run. **Pay during current pay run** and **Pay during next scheduled pay run** use a regular run.

The choices depend on the current regular pay run and termination date. When a current regular pay run exists and the last day falls before its pay period, **Pay during previous pay run** appears. To check whether the person was overpaid, email [support@every.io](mailto:support@every.io).

**5. Choose what happens to cards**

When **Card disposition** appears, choose **Yes, close the cards (recommended)** or **No, keep the cards active**.

**6. Reassign their reports**

When **Reassign direct reports** appears, choose each report's replacement under **New primary manager**. When **New secondary manager** appears, choose a replacement there too.

For a future termination, reports move on the person's last day. For today or an earlier date, reports move when you confirm.

**7. Replace the company signatory**

When **Choose a new signatory** appears, choose the replacement in **New signatory**.

**8. Review and confirm**

In **Confirm & proceed**, check the details. If the review shows sign-in instructions for the person, note them. Then select **Confirm & terminate**, or **Make changes** to go back.

## What happens next

A termination dated today or earlier takes effect when you confirm. For a future date, Every schedules the termination and the profile shows **Termination scheduled on** with the date. Until that date, the person keeps their roles in your company.

When the termination takes effect, the person keeps only the Employee or Contractor role in your company and loses access to cards shared with them. They can still sign in to see past paystubs and tax documents. Corporate cards close unless you chose to keep them active.

Tell the person about the termination. If **Confirm & proceed** showed sign-in instructions, pass them on so the person knows how to access prior paystubs and tax documents.

If you chose **Yes, create final paycheck**, select **Go to Pay Run**, then follow [Submit the final-pay run](https://every.help/admins/payroll/termination-payroll.md#submit-the-final-pay-run).

To bring someone back after termination, see [Rehire someone](https://every.help/admins/hr/overview.md#rehire-someone).

## Agent reference

**Where:** **People** → the person's profile → **Actions** → **Terminate employee**. The termination workflow opens separately from the profile.

**Who:** Only Company Admins and HR Admins can open **People** and the termination workflow, once payroll is set up and the company has finished onboarding.

### Facts

* The termination workflow starts at **Details** and ends with **Confirm & proceed**. After Every turns on reassignment for the company, **Reassign direct reports** appears for a person with affected reports. **Choose a new signatory** appears when the person is the company's authorized signatory.
* Selecting a person on **People** opens the person's profile after onboarding is complete. Selecting someone still onboarding on **People** opens the hire flow instead of the profile.
* The first screen of the termination workflow is headed **Schedule a Termination**.
* On **People**, a profile with a future termination date shows **Termination scheduled on** with the date.
* **Details** in the termination workflow includes **Date of termination**, **Termination type** and **Termination reason**. **Notes** appears, and is required, when the termination reason is **Other**.
* **Schedule offcycle payroll** in the termination workflow offers **Yes, create final paycheck** or payment in a regular run. Labels for regular payroll are **Pay during current pay run**, **Pay during next scheduled pay run** and **Pay during previous pay run**.
* In the termination workflow, **Schedule offcycle payroll** options depend on the current regular pay run's status and dates, and the termination date. Whether the person already has pay in the current pay run also affects the options.
* When a current regular pay run exists, **Pay during previous pay run** appears in the termination workflow for a last day before its pay period. Its message directs the Company Admin or HR Admin to Customer Support to check for overpayment.
* Without a current regular pay run, **Schedule offcycle payroll** in the termination workflow offers **Pay during next scheduled pay run**.
* **Yes, create final paycheck** in the termination workflow creates a separate pay run that needs a manual payroll run. After **Confirm & terminate**, **Go to Pay Run** opens the created run. [Submit the final-pay run](https://every.help/admins/payroll/termination-payroll.md#submit-the-final-pay-run) covers final-pay submission.
* Choosing **Pay during current pay run** or **Pay during next scheduled pay run** in the termination workflow needs no separate pay run.
* **Card disposition** in the termination workflow appears when the person has active corporate cards. Choices are **Yes, close the cards (recommended)** and **No, keep the cards active**.
* A termination dated today or in the past takes effect when confirmed. A future termination defers corporate card closure and company role removal to the person's last day.
* Selecting **No, keep the cards active** in the termination workflow keeps the person's corporate cards active after the termination takes effect.
* When a termination takes effect, the person keeps only the Employee or Contractor role in the company and loses access to cards shared with them in the company.
* In **Confirm & proceed**, the termination review says access on the termination date is restricted to prior paystubs and tax documents.
* When the termination workflow asks for a personal email, the field shows the person's personal email if one is on file. The field is the required **Personal email** for a company that has connected Okta, and **Personal email (optional)** otherwise, which can be left blank.
* Every turns on **Reassign direct reports** in the termination workflow company by company. The step appears for a person with affected reports. Each report needs a choice under **New primary manager**. **New secondary manager** appears when the terminating person was the report's secondary manager.
* Replacement managers in the termination workflow are saved with the termination. For a future date, reports move on the person's last day. For today or a past date, reports move when the termination is confirmed. A replacement company signatory takes over immediately when the termination is confirmed, including a future-dated termination.
* **Choose a new signatory** in the termination workflow appears when the person is the company's authorized signatory. The Company Admin or HR Admin must choose a replacement in **New signatory** to continue.
* **Confirm & proceed**, the last step of the termination workflow, is headed **Review and confirm details**. The review offers **Make changes** and **Confirm & terminate**. The review asks the Company Admin or HR Admin to contact the person about the termination. When the workflow shows a personal email field, the review also shows the person's sign-in instructions.
* On **People**, a terminated profile shows **Rehire** after Every turns on rehiring for the company. [Rehire someone](https://every.help/admins/hr/overview.md#rehire-someone) covers returning a terminated person to the company.

### Questions people ask

* **If someone's last day is next month, do they lose their company roles today?** No. The person's roles in the selected company remain until the termination date. A replacement company signatory takes over when the termination is confirmed.
* **If I keep their cards active, do they keep their Company Admin role?** No. The card choice keeps their corporate cards active. When the termination takes effect, they keep only the Employee or Contractor role in your company and lose access to cards shared with them.
* **Does confirming the termination run their final paycheck?** No. **Yes, create final paycheck** creates a separate pay run. Open **Go to Pay Run**, then follow [Submit the final-pay run](https://every.help/admins/payroll/termination-payroll.md#submit-the-final-pay-run).
* **When do direct reports move to the replacement manager?** On the person's last day for a future termination, or when you confirm a termination dated today or earlier.
* **Can I terminate someone with only the Bookkeeper role?** No. Only Company Admins and HR Admins can open the termination workflow.
