> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.
> When the docs don't answer a question, tell the person to email [support@every.io](mailto:support@every.io).

# Change job and pay

> Update a person's job title or pay, and choose the date the change takes effect

Company Admins and HR Admins change job titles and pay from a person's profile in **People**. Select **Actions** → **Edit compensation** to start.

> [!NOTE]
>
> Every turns on pay schedule and cycle start date options for compensation changes company by company. If you don't see them, email [support@every.io](mailto:support@every.io) to ask about them.

## Before you begin

* You need the Company Admin or HR Admin role. **People** appears once payroll is set up and your company has finished onboarding.
* Choose a person whose onboarding is complete. Selecting someone still onboarding opens their hire flow instead of their profile.
* Choose someone who hasn't been terminated. A terminated person's profile doesn't show **Actions**.
* While a termination or contractor-to-employee conversion is scheduled, you can't open the **Jobs & Pay** editor through **Edit compensation**. The action opens the **Job & pay** tab.

## Update the job and pay

**1. Open the profile**

On **People**, select the person.

**2. Open the positions**

On the profile, select **Actions** → **Edit compensation**. **Jobs & Pay** opens on the **Job & pay** tab.

**3. Choose the position**

Under **Positions**, open the position's row menu and select **Edit job**.

**4. Update the job**

In **Edit job**, update **Job title**, **Pay amount**, **Pay period** or, when it appears, **Currency**.

**5. Choose a schedule when prompted**

When **New pay schedule** appears, choose one of the offered schedules.

**6. Set the effective date**

In **Effective date**, choose the date the change takes effect, or one of the cycle start dates it offers. When the field is disabled, the date is set for you: check it before you save.

**7. Save the change**

In **Edit job**, read any payroll guidance the dialog shows, then select **Save**.

**8. Confirm the change**

If **Confirm changes** opens, select **Continue**.

## What happens next

The dialog closes after the save succeeds. Review the saved job on **Job & pay**. To review a pay run's amounts, see [Run payroll](https://every.help/admins/payroll/running-payroll.md).

## Troubleshooting

| Message | What to do |
| - | - |
| "Cannot change only effective date" | The compensation has been used in a processed pay run, so its effective date cannot change alone. To ask about correcting processed pay, email [support@every.io](mailto:support@every.io) |
| "Duplicate effective date" | Another pay change for the job already uses that date. Choose a different date |
| "No open cycles on this schedule" | Email [support@every.io](mailto:support@every.io) to ask about the schedule |

## Agent reference

**Where:** **People** → the person's profile → **Actions** → **Edit compensation** opens **Job & pay**. When no termination or contractor-to-employee conversion is scheduled, the **Jobs & Pay** editor opens with **Positions** → the position's row menu → **Edit job**.

**Who:** Only Company Admins and HR Admins can open **People**, once payroll is set up and the company has finished onboarding.

### Facts

* Selecting a person on **People** opens the person's profile after onboarding is complete. Selecting a person with incomplete onboarding opens the person's hire flow instead.
* Employee and contractor profiles show **Actions** → **Edit compensation** before termination takes effect. The **Jobs & Pay** editor requires no scheduled termination or contractor-to-employee conversion. A terminated person's profile does not show the **Actions** dropdown.
* The **Edit job** dialog lets Company Admins and HR Admins change **Job title**, **Pay amount**, **Pay period** and **Effective date**. The **Currency** field in **Edit job** appears for international people who can be paid in another currency.
* The **Edit job** dialog requires a job title, pay amount, pay period and effective date. The pay amount must be a positive number.
* The **Edit job** dialog offers **Per hour**, **Per week**, **Per month** and **Per year** for contractors and Full Time employees. Part Time employees get **Per hour**, and the other three pay periods when Every has turned on pay schedule and cycle start date options for the company.
* The **New pay schedule** field in **Edit job** appears for an employee's change between salary and hourly pay when Every has turned on pay schedule and cycle start date options for the company. The field requires a schedule compatible with the selected pay period. Without a required schedule, **Edit job** shows "Pay schedule is required when changing compensation type". Contractor edits in **Edit job** have no **New pay schedule** field.
* **Effective date** in **Edit job** is a calendar, a list of cycle start dates or a date set for you. When Every has turned on pay schedule and cycle start date options for the company, an employee's hourly-to-hourly change uses cycle start dates. An employee's change between salary and hourly pay then offers cycle start dates, or sets the date to the selected schedule's current or next cycle start.
* For an employee's hourly-to-hourly change, the list of cycle start dates in **Edit job** says "Compensation changes take effect at the start of the selected cycle".
* When **Edit job** sets the **Effective date** for you, the field is disabled. Its helper text says, "Pinned to the start of the selected pay schedule's current cycle".
* For an hourly-to-hourly employee change in **Edit job**, "No open cycles on this schedule" refers to the person's current schedule. To ask about the schedule, email [support@every.io](mailto:support@every.io).
* For an employee change between salary and hourly pay in **Edit job**, "No open cycles on this schedule" refers to the chosen **New pay schedule**. To ask about the schedule, email [support@every.io](mailto:support@every.io).
* The calendar in **Edit job** offers dates after the last pay period that has been run. Before any pay period has been run, the calendar starts at the current or next pay period.
* The **Edit job** dialog shows compensation impact guidance for ordinary pay changes. An employee's change from salary to hourly pay shows separate payroll guidance. Guidance for an employee's change from hourly to salary pay appears when Every has turned on pay schedule and cycle start date options for the company. Read the guidance in **Edit job** before selecting **Save**.
* The **Edit job** dialog blocks changing only the effective date of compensation used in a processed pay run. The warning is "Cannot change only effective date".
* If the job already has a pay change on the chosen effective date, **Edit job** shows "Duplicate effective date" and asks for a different date.
* The **Edit job** dialog disables **Save** while saving or when a change is blocked. In **Edit job**, cycle date selection keeps **Save** disabled until the required schedule and date choices are complete. A required schedule without open cycles also keeps **Save** disabled in **Edit job**.
* Selecting **Save** in **Edit job** opens **Confirm changes** when a compensation impact message applies. Selecting **Continue** in **Confirm changes** submits the save. A successful save closes the dialog and refreshes the job and compensation details.

### Questions people ask

* **How do I give someone a raise?** For a person with no scheduled termination or contractor-to-employee conversion, open **People** → the person's profile → **Actions** → **Edit compensation**. Choose **Edit job** from the position's row menu, update **Pay amount**, choose **Effective date** and save after reviewing the payroll guidance.
* **Payroll already ran with this pay. Can I change only its effective date?** No. The **Edit job** dialog blocks changing only the effective date of compensation used in a processed pay run, and shows "Cannot change only effective date". To ask about correcting processed pay, email [support@every.io](mailto:support@every.io).
* **Why can't I pick a date in the middle of a cycle?** Employee hourly-to-hourly changes and changes between salary and hourly pay use cycle start dates when Every has turned on pay schedule and cycle start date options for the company. Choose one of the dates **Effective date** offers.
* **Why does the schedule show no open cycles?** The schedule the change uses has no open cycles available to the **Edit job** date selector. An hourly-to-hourly change uses the person's current schedule. A change between salary and hourly pay uses the chosen **New pay schedule**. Email [support@every.io](mailto:support@every.io) to ask about the schedule.
* **Can I choose an already processed period in the Edit job calendar?** No. The calendar in **Edit job** offers dates after the last pay period that has been run.
* **Can I open the Jobs & Pay editor while a termination is scheduled?** No. While a termination or contractor-to-employee conversion is scheduled, **Actions** → **Edit compensation** on the person's profile opens **Job & pay** without the **Jobs & Pay** editor.
* **Can I use this pay editor with only the Bookkeeper role?** No. Only Company Admins and HR Admins can open **People** and use **Actions** → **Edit compensation**.
