> ## Agent Instructions
> These docs describe Every as customers have it today. Answer from them, and say so when they don't cover a question.
> Pages under /admins/ are for the people who run Every for the company, and pages under /employees/ are for employees. Answer from the pages that match the person asking.
> Each page's Agent reference section lists its exact roles, conditions and limits. Prefer it for those details.
> When a page says a feature is in closed beta, or that Every turns it on company by company, don't promise that the person's company has it.
> Use roles and on-screen labels exactly as the pages write them.
> When someone asks what a term means, answer with the Glossary page's definition (/glossary), which other pages show in parentheses after the term.

# Request 1099s

> Ask Every to file a 1099 for a vendor, follow its status and download it once it is ready

![Annual 1099s review card with its three tasks, the last showing 4 vendors missing a W-9.](https://mintcdn.com/every-a2724ddc/k5maP8xPODHl5ToY/images/illustrations/admins-bill-pay-1099-filing-light.png?fit=max\&auto=format\&n=k5maP8xPODHl5ToY\&q=85\&s=01f5b891873304c11223af4d8abd6ace)

Ask Every to file a 1099 for a vendor on **Payments** → **Vendors**, and download it from the same page once it's ready. Company Admins, Bookkeepers and Accounts Payable users can request 1099s after your company finishes onboarding. Company Admins and Bookkeepers can also download them. The Accounts Payable role alone doesn't allow downloads.

> [!NOTE]
>
> Every turns on the Accounts Payable role company by company. If you don't see it, email [support@every.io](mailto:support@every.io) to ask about it.

## Before you begin

When you answer **Yes** while adding a vendor, Every doesn't save the vendor until it has:

* The vendor's **Entity Type**, name and **Type of TIN** (SSN or EIN)
* A 9-digit TIN (Taxpayer Identification Number: the number the IRS identifies a taxpayer by, such as an SSN or an EIN)
* The vendor's street, city, state and zip code
* A **QBO Vendor**, if your accounting software is connected

You can also turn on a request with the switch on **Vendors** or in **Tax settings**, and add these details later.

## Request a 1099

The tax year is the current year from February to December, and the previous year in January. It shows in the question you answer.

| Where | What to do |
| - | - |
| **Request 1099** column on **Vendors** | Turn on the switch |
| **Add vendor** | Under "Would you like to request a 1099 filing for this vendor for \{year}?", select **Yes** |
| **Tax settings** in a vendor's details | Choose **Yes, request 1099 filing** |

**Tax settings** is in the vendor's details: in the menu at the end of the vendor's row, select **Edit vendor**. The menu button shows when you point at the row.

## Follow a request

**All vendors** shows all your vendors, and **1099 vendors** only those with a request on. The **Request 1099** column shows where each 1099 stands:

| You see | What it means |
| - | - |
| A switch | No request is on for the vendor |
| **Requested** | Every has your request |
| **Pending** | Every is preparing the vendor's 1099 |
| **Download 1099** button | The 1099 is ready to download |

A request made in **Tax settings** shows **Pending** right away. A request made with the switch shows **Requested**.

Every files the 1099 for you. When it's ready, select **Download 1099** in the column. Every opens the 1099 as a PDF in a new tab.

![The 1099 vendors tab on Vendors, with each vendor's W9 status and 1099 request.](https://mintcdn.com/every-a2724ddc/qvvudeZxc26V6Klz/images/screens/admins-bill-pay-1099-filing-light.png?fit=max\&auto=format\&n=qvvudeZxc26V6Klz\&q=85\&s=bf9cda3a0ade085bbb227db64a23fbb3)

## Turn off a request

Once a request is on, the column shows its status instead of the switch, so you turn the request off in **Tax settings**.

1. In the menu at the end of the vendor's row, select **Edit vendor**.
2. In **Tax settings**, choose **No, do not request 1099 filing**.

This cancels the request. If the filing was already transmitted and can't be removed, Every shows "1099 filing for \{year} has already been transmitted" and stops requesting 1099s for the vendor from then on.

## Check the W-9

**W9 status** reads **Completed** when Every has the vendor's entity type, TIN and address, and **Missing information** when it doesn't. It doesn't read an uploaded W-9 (The IRS form a U.S. vendor or contractor fills in to give a business their name and TIN) file. To get what's missing from the vendor, see [Collect vendor details](https://every.help/admins/bill-pay/vendor-details.md).

You can also upload the vendor's W-9 as a PDF under **Upload W9 (optional)** in **Tax settings**.

## Adjust the spend on a 1099

Once a vendor's request shows **Pending** or **Download 1099**, **Tax settings** shows **YTD 1099 Spend (\{year})**, the amount Every files on the vendor's 1099. Enter the amount you want, and Every saves it when you leave the field. The **Year to date spend** column then shows your amount.

When the field says the amount was already filed on the 1099 form, you can't change it. It unlocks for the next 1099 filing.

## Review 1099s each January

The **Annual 1099s review** card shows at the top of **All vendors** and on **Home** when your accounting software is connected and your company has an active Every bookkeeping plan. It shows only in January, and its deadline is January 31. Select **Hide** to collapse it.

The card asks you to confirm the final list of vendors before the date it shows, and Every does the rest. Select **See vendors** to open the list on the **1099 vendors** tab. A badge such as "4 missing" counts every vendor on **All vendors** whose **W9 status** isn't **Completed**, and each **Learn more** opens Every's guide in a new tab.

## Agent reference

**Where:** **Payments** → **Vendors**, titled **Vendors**. The **Request 1099** column, the **All vendors** tab and the **1099 vendors** tab are on that page. **Tax settings** is in a vendor's details, which open with **Edit vendor** in the vendor's row menu. The **Annual 1099s review** card shows on **All vendors** and on **Home**.

**Who:** Company Admins and Bookkeepers can open **Payments** → **Vendors** and request 1099s, after the company finishes onboarding. Accounts Payable users can too, once Every has turned the Accounts Payable role on for the company. Company Admins and Bookkeepers can also download 1099s. The Accounts Payable role alone doesn't allow downloads. A person who holds none of the Company Admin, Bookkeeper and Accounts Payable roles in the company can't open **Payments** → **Vendors**.

### Facts

* **Payments** → **Vendors** has a **Request 1099** column. With no request on, the column shows a switch that has no label of its own.
* Turning on the switch in the **Request 1099** column saves the request for the vendor and shows "Vendor updated" with "1099 filing has been requested for \{vendor name}".
* You can request a 1099 with the switch in the **Request 1099** column or in **Tax settings** before the vendor's entity type, TIN and address are on file, and add them later.
* Once a request is on, the **Request 1099** column shows the vendor's status in place of the switch.
* In **Tax settings**, the question is "Would you like to request a 1099 filing for this vendor for \{year}?" and the options are **Yes, request 1099 filing** and **No, do not request 1099 filing**. **Tax settings** describes the request as automatic 1099 filing for the tax year.
* Choosing **Yes, request 1099 filing** in **Tax settings** turns the request on and shows "Tax filing record created" with "1099 filing has been requested for this vendor".
* A vendor requested through **Tax settings** shows **Pending** in the **Request 1099** column right away. A vendor requested with the switch shows **Requested**.
* **Tax settings** is hidden for the company's own bank accounts.
* To open **Tax settings**, point at the vendor's row on **Payments** → **Vendors**, open the menu in the last column and select **Edit vendor**. The menu button shows when the pointer is over the row.
* **Add vendor** on **Payments** → **Vendors** opens the **Add a vendor** form. The form asks "Would you like to request a 1099 filing for this vendor for \{year}?" with the answers **Yes** and **No**, and its button is **Submit**.
* When the answer is **Yes**, the **Add a vendor** form requires the **Entity Type**, the **Vendor** name, the **Type of TIN** (SSN or EIN), the **Enter TIN Number** field as a 9-digit TIN, and the street, city, state and zip code. The zip code must be 5 digits. The form doesn't save the vendor until each one is filled in.
* When the answer is **Yes** and the company's accounting software is connected, the **Add a vendor** form also requires a **QBO Vendor** and shows "QBO Vendor is required" when it is empty. The **QBO Vendor** field is in the **Accounting Details** card, which shows only when the accounting software is connected.
* Once a vendor's request is on, editing the vendor's information in the vendor's details asks for the entity type, the TIN and the address, and shows messages such as "TIN number is required" and "Street address is required" when they are empty.
* The **Request 1099** column shows one of four things for each vendor: the switch, **Requested**, **Pending** or the **Download 1099** button.
* **Requested** in the **Request 1099** column on **Payments** → **Vendors** means Every has the request for the vendor.
* **Pending** in the **Request 1099** column on **Payments** → **Vendors** means Every is preparing the vendor's 1099. **Pending** shows until the 1099 is ready to download.
* **Download 1099** in the **Request 1099** column is a button, with the tooltip **Download 1099**. It replaces **Pending** once the 1099 is ready.
* Selecting **Download 1099** opens the 1099 as a PDF in a new tab. A failed download shows "Failed to download 1099".
* Company Admins and Bookkeepers can download a 1099 from **Payments** → **Vendors**. The Accounts Payable role alone doesn't allow downloads.
* The tax year for requests on **Payments** → **Vendors** is the current year from February to December, and the previous year in January.
* The **Request 1099** column, **Tax settings** and the **Add a vendor** form on **Payments** → **Vendors** all use the same tax year: the current year from February to December, and the previous year in January. The **Request 1099** column shows only the vendor's 1099 for that year.
* A request stays on from year to year until you turn it off, so **1099 vendors** lists each vendor whose request is on.
* Choosing **No, do not request 1099 filing** in **Tax settings** cancels the vendor's 1099 request. When it removes the vendor's 1099 for the year, Every shows "Tax filing record removed".
* When choosing **No, do not request 1099 filing** shows "1099 filing for \{year} has already been transmitted", the vendor's 1099 for the year stays as it is. The request is still turned off, and Every doesn't request 1099 filing for the vendor going forward.
* The **W9 status** column on **Payments** → **Vendors** reads **Completed** when the vendor has a TIN, street, city, state, zip code and entity type, and **Missing information** when any of them is missing.
* An uploaded W-9 file doesn't change **W9 status**. **Upload W9 (optional)** in **Tax settings** takes a PDF and saves the file, and **W9 status** reads only the vendor's TIN, address and entity type.
* **Tax settings** explains a W-9 as "a tax form we collect from vendors to get their legal name and Tax ID".
* **YTD 1099 Spend (\{year})** in **Tax settings** shows only when the request is on and the **Request 1099** column shows **Pending** or **Download 1099** for the vendor. Its description is "Adjust spend manually".
* The amount in **YTD 1099 Spend (\{year})** is what goes into box 1 of the vendor's 1099-NEC. It saves when you leave the field and shows "YTD 1099 Spend updated for \{year}".
* When **YTD 1099 Spend (\{year})** has an amount, the **Year to date spend** column on **Payments** → **Vendors** shows that amount.
* While **YTD 1099 Spend (\{year})** reads "YTD spend amount was already filed on the 1099 form for \{year}, it will be unlocked for the next 1099 filing.", the field is disabled.
* The **Annual 1099s review** card shows only when the company's accounting software is connected and the company has an active Every bookkeeping plan, and only through January 31 of the current year, so it shows only in January. The date on the card reads as month, day and year.
* The **Annual 1099s review** card shows at the top of the **All vendors** tab, and not on the **1099 vendors** tab. It also shows on **Home** to Company Admins, Bookkeepers and Accounts Payable users, as a **1099** card.
* The **Annual 1099s review** card has a **Hide** button that becomes **Show**, and its rows are open by default.
* The first row of the **Annual 1099s review** card is "Submit 1099's by \{date}". It asks you to confirm the final list of vendors and contractors before the date and says Every does the rest. **See vendors** opens **Payments** → **Vendors** on the **1099 vendors** tab.
* The second row of the **Annual 1099s review** card is "Identify and Tag Vendors that require a 1099", with a guide on how to identify which vendors need a 1099 and how to tag them in Every. **Learn more** opens the guide in a new tab.
* The third row of the **Annual 1099s review** card is "Request W-9 from vendors", with a guide on how to request missing W-9s. **Learn more** opens a guide in a new tab. A yellow badge such as "4 missing" counts every vendor on **All vendors** whose **W9 status** isn't **Completed**.
* Every files the 1099, and a customer can't send one themselves. The **Annual 1099s review** card says Every does the rest once you confirm the list.

### Questions people ask

* **How do I request a 1099 for a vendor?** Turn on the switch in the **Request 1099** column on **Payments** → **Vendors**, answer **Yes** when you add the vendor, or choose **Yes, request 1099 filing** in the vendor's **Tax settings**.
* **Can an Accounts Payable user request a 1099?** Yes. Accounts Payable users can open **Payments** → **Vendors** and request 1099s.
* **Can an Accounts Payable user download a 1099?** Not with that role alone. Company Admins and Bookkeepers can download 1099s from **Payments** → **Vendors**.
* **Where do I download a vendor's 1099?** Select **Download 1099** in the **Request 1099** column on **Payments** → **Vendors** once the 1099 is ready.
* **What do Requested and Pending mean?** **Requested** means Every has your request. **Pending** means Every is preparing the vendor's 1099, and it isn't ready to download yet.
* **Why does a vendor have no switch in the Request 1099 column?** The column shows the vendor's status in place of the switch once a request is on.
* **How do I turn off a 1099 request?** Select **Edit vendor** in the vendor's row menu, then choose **No, do not request 1099 filing** in **Tax settings**.
* **Which tax year does a request cover?** The current year from February to December, and the previous year in January.
* **What do I need to request a 1099 when I add a vendor?** The **Entity Type**, the vendor's name, the **Type of TIN**, a 9-digit TIN, the street, city, state and zip code, and a **QBO Vendor** if your accounting software is connected.
* **Why does W9 status say Missing information?** The vendor is missing a TIN, a street, city, state or zip code, or an entity type. To collect them, see [Collect vendor details](https://every.help/admins/bill-pay/vendor-details.md).
* **Does uploading a W-9 change W9 status?** Not in **Tax settings**: an upload there only saves the file, and **W9 status** reads only the vendor's TIN, address and entity type. On **Add a vendor**, Every fills in the details it reads from the W-9 you upload, which you can check before you select **Submit**.
* **What is YTD 1099 Spend, and can I change it?** It is the amount Every files on the vendor's 1099. You can change it in **Tax settings** unless the field says the amount was already filed on the 1099 form.
* **Why is YTD 1099 Spend locked?** The field says the amount was already filed on the 1099 form. It unlocks for the next 1099 filing.
* **Why don't I see the Annual 1099s review card?** It shows only in January, through January 31, and only when the company's accounting software is connected and the company has an active Every bookkeeping plan.
* **When is the 1099 deadline?** The **Annual 1099s review** card gives January 31 of the current year.
* **Who files the 1099?** Every does. You request it and confirm the list of vendors.
